How Hawaa’s Automated IIOT Approach to Inventory Management Stopped Stockout Stress

Every fashion brand that is performing well on ads and organically knows the struggle that with popularity and demand, the supply sometimes just can't keep up, which leads to bouncing customers and missed opportunities for orders. The automated system Hawaa implemented would have employed several key technologies to create a proactive, stress-free process.

Mechanism used: Used technologies like Barcode Scanning, RFID, or IoT sensors to register every item the moment it was received, moved, or sold. This prevents disappointment with customers when their item is sold out.

Result: The system provided live, 24/7 inventory levels. Employees could trust the data, eliminating time wasted on frantic physical counts to verify stock and immediately identifying discrepancies. It also, as mentioned above, ensured no disappointed customers or time wasted searching endlessly for items. While mistakes in technology or faulty items can occur, it's to a much lesser extent.

Mechanism: Integrated AI and Machine Learning to analyse vast amounts of data, including:
Historical sales velocity.
Seasonality (e.g., EID, Black Friday and Ramadan).
Lead times from different suppliers.
Marketing campaign data.

Result: Hawaa moved from guessing demand to predicting demand with high accuracy. While it might be more obvious during which periods you would need a winter abaya, or the raincoat, this just provides more structure and statistical insight on what would be more profitable and when to get stock for these periods. This allowed the firm to calculate the true safety stock needed for each item, drastically reducing unexpected shortages.

Mechanism: The system dynamically calculated the Reorder Point (ROP) based on the predicted demand and lead time. When inventory quantity hit this point, the system automatically generated a Purchase Order (PO) or sent an alert.

Result: Proactive Replenishment was achieved, preventing sending customers to our out-of-stock ads (not wasting ad spend) but also preventing bounce rates from increasing and dissatisfied customers. Orders were placed on time, ensuring new stock arrived before the existing stock ran out. This eliminated the stress of last-minute, expedited shipping fees and the panic of telling a customer an item is unavailable, which is losing out on countless sales. This also prevents overspending on stock items that aren't performing well.

Mechanism: The system centralised data from the warehouse, POS, and sales channels into a single dashboard. Automated alerts were set for critical statuses (e.g., "Item A is 5 days from ROP").

Result: Hawaa management gained complete control and oversight. Instead of running reports, they received actionable alerts, allowing them to focus on strategic decisions rather than tactical inventory firefighting. When running a successful modest fashion company, you need to consider so many elements beyond the supply chain, which can become overwhelming and time-consuming; these alerts allow them to take a tedious job away from them, improving efficiency.
